5.4  Approve Substitute and Absence Management Software Contract with Frontline Education  (Action)
 

Background Information:

At their October 2018 'job-a-like' meeting, District staff and School Administrative Assistants established a goal to investigate and implement a more efficient method for procuring substitute personnel and reporting absences and time worked. 

Reports:

The District's current process is labor intensive and overly reliant on just a few key individuals.  School Administrative assistants at each site have reported spending on average 10-15 hours a week (sometimes more) procuring substitutes.  Additional time is spent manually coding paper timesheets, data entry into excel, and following-up with staff to report absence and additional time worked.  

Staff are recommending the implementation of Frontline's services to streamline absence and time reporting and take advantage of operational efficiencies by utilizing its automated substitute management process.

Financial Impact:
The one time cost for set up and training is $8,500 and the annual subscription is $15,645

Superintendent's Recommendation:

That the Board approve the contract for substitute and absence management software to Frontline Education.
